Step-by-step instructions to get up and running.
Get Started
Download and install FlipBlip LawnGear on Windows, or install the APK on Android (allow installation from unknown sources when prompted).
Enter your license key on first launch and tap Unlock LawnGear.
Complete your Profile — add your business name, home base address, phone, and email. This information appears on your quotes and invoices.
Upload your logo — go to the Templates sub-tab and upload your logo image directly. This logo appears on your quotes, invoices, PDFs, and QR codes.
Set your brand color and PDF defaults on the Templates sub-tab.
Set Up Your QR Code
Go to Schedule → Availability → scroll down to the QR Code Generator.
Enter a custom URL.
Choose your QR variant (Standard, Branded, or Plain).
Tap Export QR Code to save or share it.
Tap Save to My QR Codes to store it for reuse on future invoices.
Build Your Library
Go to Library → Quick Start to browse lawn-specific items pre-loaded for your lawn care business.
Tap items to add them to your personal library.
Go to Library → Library Items to view, search, and edit your saved items.
Use Tag 1 for lawn service category (e.g. Mowing, Treatments, Cleanup) and Tag 2 for subcategory to organize your library.
Go to Library → Library Creator to add custom items not in the Quick Start.
Build Your First Quick Quote Package
Go to Library → Packages → Build Package.
Name your package and choose 2 or 3 tiers (e.g. Standard, Premium, Ultimate).
Add line items to each tier from your library or manually.
Check “Highlight middle tier as recommended” if you want one tier to stand out.
Save — your package is now available when quoting jobs.
Supply Zones, Equipment & Appointment Types
LawnGear includes built-in tools to track your supplies, equipment, and appointment categories — all tailored for a solo contractor.
Supply Zones
Supply Zones replace truck-based inventory. Organize your materials and supplies by zone (e.g. Shed, Van, Garage) so you always know what you have on hand and where it lives.
Go to Supplies → Supply Zones to create your zones.
Add supply items to each zone and track quantities as you use them on jobs.
Equipment — Tools & Tool Zones
Track your tools and equipment with Tool Zones and service reminders so nothing falls behind on maintenance.
Go to Equipment → Tools to add your mowers, trimmers, blowers, and other gear.
Organize tools into Tool Zones (e.g. Storage, Workshop) for quick lookup.
Set service reminders on any tool to get notified when maintenance is due (by hours or date).
Appointment Types
Define the kinds of appointments you offer so your schedule stays organized and consistent. Found under Configurations → Appointment Types.
Go to Configurations → Appointment Types to create categories (e.g. Mowing, Treatment, Estimate, Cleanup). Pick a color for each type using the color picker.
Assign an appointment type when scheduling a visit. Your calendar shows colored sections per day so you can see what kind of work fills each day at a glance. Job cards show a colored border matching their assigned type.
Jobs and Recurring sort dropdowns include a Status option that groups work by appointment type.
Optional Features Tab
LawnGear ships with an Optional Features tab where every optional capability is OFF by default. Turn on only what you need and leave the rest hidden. Go to Settings → Optional Features to toggle any option on or off.
Seasonal Service Modes
LawnGear tracks warm and cold seasons so your recurring client cards and scheduling reflect what work is actually happening at different times of the year.
Warm & Cold Season Modes
LawnGear operates in two seasonal modes. Warm season is your active mowing and treatment period. Cold season is the dormant period when recurring mowing routes pause. The app uses your warm season start and end dates to determine which mode is active on any given day.
Season Badges on Recurring Client Cards
Each recurring client card displays a season badge showing whether that client is currently in warm season (active service) or cold season (paused). This makes it easy to scan your client list and see at a glance who is due for service and who is off-season.
Off-Season Scheduling & Recurring Lifecycle
During cold season, recurring mowing visits are automatically paused. Off-season recurring clients show dimmed on the Recurring tab so you can tell at a glance who is off-season. Visit generation respects season windows — no visits are generated outside the client's active season. You can still schedule one-off jobs — such as fall cleanups, snow removal, or off-season estimates — without affecting your warm season recurring schedule. When warm season returns, your recurring routes resume automatically based on the start date you set.
Setting Warm Season Start & End Dates
Go to the Profile tab to find the Warm Season Start and Warm Season End date fields.
Set the start date to when your mowing season typically begins (e.g. April or May) and the end date to when it typically wraps up (e.g. October or November).
Save your profile. LawnGear uses these dates to switch between warm and cold season modes and to display the correct season badges on your recurring client cards.
Recurring Clients
Recurring clients follow a full lifecycle from draft through completion. They are managed separately from one-time jobs on the Recurring tab.
Draft — Set up the client info, service agreement line items, flat rate, frequency, and scheduled days. The client stays in draft until you send a quote.
Send Quote — Share the service agreement for client approval. The share sheet opens with reply-to-approve quoting text and an optional PDF attachment. The client approves by replying to your message.
Active — Once approved, convert to active. Log visits on scheduled days with treatment logs and condition scores, skip visits, push to the next day, or reschedule as needed. Each visit generates an invoice you can send and mark as paid.
Pause — Temporarily stop visits without losing the client. The client still exists on the Recurring tab but no new visits are generated while paused.
Complete — Mark the recurring work as finished. Completed clients no longer appear on the Recurring tab. They move to History → Paid Visits where their visit invoices remain accessible with PDF export.
Quote and Invoice Sharing
Quotes and invoices are sent through your device's native share sheet — no approval links or email URLs are used.
Tap Share Quote or Share Invoice on the job sheet. Your device's share sheet opens so you can pick Gmail, Messages, WhatsApp, or any other app.
Check the Attach PDF checkbox before sharing to send both the plain text message and a branded PDF in one share. Leave it unchecked to send text only.
The quote text includes reply-to-approve wording so the client knows to reply to your message to approve the quote.
Shared messages include a To: header with the client email and a Phone: header with the client phone (when available) at the top of the text.
History
The History tab tracks completed work and includes a dedicated sub-tab for recurring visit invoices.
The main History view shows completed one-time jobs with their final invoice status, revenue, and visit details.
The Paid Visits sub-tab shows completed recurring visit invoices. Each card has a PDF export button so you can share or save the invoice for that visit.
The Summary tab includes recurring visit revenue in Total Revenue and Completed count, with service line items and add-ons rolled into the breakdown.
The Export tab includes recurring visits alongside regular jobs in both QuickBooks Online CSV and QuickBooks Desktop IIF formats, with sequential invoice numbers across both types.
Configurations
Templates, Checklists, and Appointment Types all live under the Configurations hamburger tab.
Templates — Upload your logo, set your brand color, and configure PDF defaults that appear on every quote, invoice, and document.
Checklists — Build custom checklist templates per lawn service type or per client. Checklists auto-load on the right jobs based on phase (quoted, active, recurring, invoiced).
Appointment Types — Define the kinds of visits you offer with color coding for your calendar and job cards.
Settings
The Settings tab contains only Profile, Optional Features, and Reset Data. Templates, Checklists, and Appointment Types have moved to the Configurations tab.
Profile — Business name, home base address, phone, email, logo, brand color, warm/cold season dates, BYOK API keys, and data backup controls.
Optional Features — Toggle individual features on or off. All features are OFF by default; turn on only what fits your workflow.
Reset Data — Clear specific data categories or reset the app to a fresh state.
Bring Your Own Keys (BYOK)
LawnGear uses free third-party services for maps and weather. Each requires a free account and API key entered in your Profile tab.
LocationIQ — Maps and geocoding
Go to locationiq.com and create a free account.
Go to your dashboard, click Access Tokens, then click View Token to reveal your key.
Copy the token and paste it into the LocationIQ Key field on your Profile tab.
Free tier: 5,000 requests/day — more than enough for a solo contractor.
WeatherAPI.com — Job site weather forecasts
Go to weatherapi.com and create a free account.
Your API key is shown at the top of the dashboard on the first option under API.
Copy it and paste it into the WeatherAPI Key field on your Profile tab.
Free tier: 1,000,000 requests/month.
Managing Your License Activations
Your license key supports up to 3 device activations. LawnGear performs a bi-weekly validation check (every 14 days) to confirm your license is active. If your device is offline when a check is due, you get a 30-day grace period to reconnect — after the grace period expires, the app enters a hard lockdown until validation succeeds. Make sure to open LawnGear with an internet connection at least once every 30 days to keep everything running smoothly.
If you get a new device or need to free up an activation slot from an old one:
Open the receipt email from your FlipBlip purchase
Click View Order to go directly to your order on Lemon Squeezy
Find your license key and click on it to view active devices
Click Deactivate next to the device you no longer use
Back Up Your Data
Go to Profile → Data Backup → Export All Data to save a complete backup of your database and photos.
Store the backup file somewhere safe (Google Drive, email to yourself, etc.).
To move data to a new device, export on the old device and import on the new one using Import / Restore Data.
Use Export New Changes for regular incremental backups after your first full backup.
